Invoice to Excel with AI: turn invoice photos into spreadsheet rows

To get an invoice into Excel with AI, take a photo or screenshot of the invoice, give it to an assistant that can read images, and have it enter the fields as rows in your spreadsheet. With Tabrein you attach up to four invoice images per message in the Chrome side panel, and it pastes the rows into Google Sheets or Excel for the web in one step, then adds a SUM formula. Always check numbers that were hard to read in the photo.

Your options for scanning invoices to Excel

If you process hundreds of invoices a month, dedicated invoice-capture or accounting software with OCR is built for that volume and often connects to your bookkeeping. Excel and Google Sheets also have their own ways to bring data in from a picture or a file.

An AI assistant is useful when you have a handful of invoices or receipts, a spreadsheet layout of your own, and you want the rows entered in your columns without retyping. It reads the image, understands which number is the total and which is the tax, and fills the sheet you already use.

Step by step

  1. Take clear photos or screenshots of the invoices, flat and well lit.
  2. Open your spreadsheet in Google Sheets or Excel for the web in Chrome.
  3. Open the Tabrein side panel and attach, paste or drop up to four images.
  4. Say which columns you want and where the rows should go.
  5. Ask it to add a total row with a SUM formula.
  6. Compare the rows against the photos, especially blurry digits.

Ask Tabrein“Read these four invoices. In the sheet that’s open, add one row per invoice under the last filled row with: date, supplier, invoice number, net amount, tax, total. Then put a SUM of the total column in the row below. Tell me any number you weren’t sure about.”

Checking the result

AI can misread a 1 as a 7 or miss a decimal point in a blurry or crumpled photo. Ask the assistant to list the values it was unsure about, and check those first. A quick way to catch errors: confirm that net plus tax equals the total on each row, and compare the SUM with the sum you expect.

Number formats matter too. Tell the assistant whether your sheet uses a comma or a period for decimals, and which date format you want.

Ask Tabrein“Check each new row: does net plus tax equal the total? Highlight any row where it doesn’t.”

Invoices that are already online

Many suppliers and platforms show invoices in a web account. In that case you do not need photos: ask Tabrein to open the billing page in your signed-in Chrome, read the invoice list and paste it into your sheet. It can move between its own tabs, so the billing page and the spreadsheet can stay open side by side.

Ask Tabrein“Open the billing page of my hosting account, read all invoices from this year, and paste date, number and amount into the open Google Sheet.”

Limits and privacy

Tabrein cannot upload PDF or image files from your computer into websites; you attach images in the chat instead, up to four per message. For large batches, a dedicated invoice tool will be faster. Tabrein works with the web versions of Google Sheets and Excel, not the desktop Excel app.

While a task runs, the images, the page and your messages go to Tabrein’s servers and to Amazon Bedrock, which runs the AI models. Chats are kept until you delete them, and at most 180 days when unused.
